Automating order intake in B2B distribution
A B2B distribution client receives dozens of orders per day via email — some as structured text, some as PDFs, scans, or photos of paper orders. Manual entry into the company CRM/ERP occupied a full-time employee and produced inventory errors.
Challenge
- Free-form and structured emails, often with PDF or image attachments
- Items must be matched to specific SKUs in an ERP with thousands of active products
- Each order produces dispatch documents and supplier drafts with their own pricing logic
- No order can be lost or duplicated — financial impact on both sides is high

- AI pipeline connected to the company mailbox, reads messages in real time
- Order parser handles text, PDF and image attachments; LLM maps free-form descriptions to SKUs in the ERP
- Automatic dispatch documents created via the ERP system’s API
- Supplier drafts pre-filled with items and pricing; email waits for operator confirmation
- Operator dashboard — manual approval, item edits, retry on failure, audit log
- Idempotent writes and disaster recovery — the pipeline detects an existing document and never duplicates it
